SIOG10370 | Procedural matters: records management and retention: action on electronic case records at case closure

From HM Revenue & Customs · Specialist Investigations Operational Guidance

Before closure of a Caseflow record the whole case directory in the CAF or SharePoint site must be transferred to Documentum within Caseflow.

Documents should be saved using the same referencing system as shown in the CAF or SharePoint site and then each individual folder should be winzipped and uploaded directly into Documentum as one. The CAF or SharePoint record should then be deleted after 6 months.

The retention period in Caseflow automatically defaults to 6 years plus the current year with the option to manually extend it, if necessary.
